Introduction

Beyond Kontrol at Accra Sports Stadium is committed to delivering a premium event experience with a diverse and high-quality selection of vendors. Please read and understand the following vendor policies and procedures carefully. By applying, you agree to comply with all terms and conditions stated herein. Failure to comply will result in immediate termination of participation privileges.

Beverages

EXCLUSIVE RIGHTS NOTICE

Beyond Kontrol maintains exclusive rights to all beverage sales and distribution within the concert venue.

Unless explicitly authorized in writing, no vendor or sponsor may sell, distribute, or provide samples of:

  • Alcoholic beverages
  • Carbonated soft drinks
  • Bottled water
  • Iced tea
  • Bottled fruit juices

This policy will be strictly enforced. Violation will result in immediate termination and forfeiture of space.

Booth Setup & Space

  • Each vendor is allocated a 10ft x 10ft booth area.
  • All vendors must operate strictly within their assigned space.
  • No tables, racks, or displays may extend beyond designated boundaries.
  • Vendors requiring additional display or storage space must purchase an additional booth.
  • Booth setup must comply with safety and fire regulations as directed by event management.

Vendor Selection Process

1. Priority Placement

Beyond Kontrol sponsors receive top priority in booth placement, including food and corner locations.

2. Category Management

The event reserves the right to limit vendors offering similar products or services.

3. Duplication Policy

In cases of duplication, vendors who fully pay before the deadline will receive priority.

4. Deadline

No applications will be accepted after 21st November 2025.

5. Notification

Booth assignments will be sent via email, call, or text on 21st November 2025.

6. Refund Policy

No refunds, cancellations, transfers, or credits will be issued once payment is received.

Space allocation depends on availability and product category.

Merchandise & Product Regulations

  • Vendors may only sell items pre-approved during registration.
  • Any offensive, discriminatory, or inappropriate merchandise is strictly prohibited.
  • All signage and products must be contained within the booth area.
  • Management reserves the right to evaluate all merchandise for quality, relevance, and brand alignment with Beyond Kontrol.
  • Vendors found distributing or sourcing from suspended or terminated sellers will be removed immediately.
  • Food vendors must provide valid health and food permits during setup.

Signage & Electricity

  • Only professionally printed signs are allowed — no handwritten signage.
  • Electricity will be provided with one power outlet and basic lighting per booth.
  • Additional electrical requirements must be requested in advance.
  • Vendors will receive scheduled access times for setup and site entry.
  • All vehicles must exit the event site by 10:30 a.m. on the event day.

Clean-Up & Security

  • Vendors are responsible for maintaining clean and organized spaces throughout the event.
  • All trash and materials must be disposed of properly before leaving.
  • Beyond Kontrol will provide limited overnight security, but management is not liable for lost, stolen, or damaged items.

Important: Vendors who leave property overnight do so at their own risk.

Pets & Music Policy

  • No pets are allowed on event premises, including vendor booths.
  • Vendors using music or sound must ensure it does not exceed 20 feet beyond their space.
  • All sound use must be pre-approved by the event management team.

Beyond Kontrol Branding & Logo Usage

TRADEMARK PROTECTION

The Beyond Kontrol name and logo are protected under trademark and copyright laws.

  • Vendors may not use the official Beyond Kontrol logo, name, or artwork on any merchandise or promotional materials without written authorization.
  • Any unauthorized use will lead to immediate removal and potential legal action.

Documentation Requirements

All vendors must submit the following at least TWO (2) WEEKS prior to their vending date:

1.Completed Vendor Application Form
2.Signed & Dated Vendor Agreement
3.Proof of Payment
4.Business Registration Certificate
5.Tax Identification Number (TIN)
6.Food & Drugs Authority (FDA) Permits (for food vendors only)

No applications will be processed without these required documents.

Compliance

By submitting your vendor registration, you acknowledge that:

  • You have read, understood, and agreed to all policies.
  • You accept that Beyond Kontrol management's decisions are final in all vendor-related matters.
  • Failure to comply with these policies may result in immediate dismissal from the venue without refund.
